You will provide comprehensive administrative and coordination support to Mexico´s MD & Latin America Vice President. Your daily responsibilities include:

 

  • Manage efficiently the calendar of the MD´s appointments.

  • Provide a "gatekeeper" role for all the direct reports and areas, maximizing the MD´s time.

  • Plan, coordinate and ensure the MD´s schedule is followed and respected.

  • Arrangement of detailed travel plans, itineraries, and agendas.

  • Completing expenses reports in CONCUR.

  • Coordinate internal events, staff meetings, trainings, and projects, planned by the Senior Management Team (SMT).

  • Scheduling internal screenings according to priorities.

  • Elaborate reports and presentations:

  • Competitive Calendars: Internal, External and local productions reports.

  • Territory Contribution Reports (TCR):  coordinate its elaboration with the areas involved, follow up and revisions. Assistance with screening reactions.

  • Update the BO Magic system.

  • Other documents (Surveys, PPT Presentations)

  • Maintain a close communication with all internal areas and regional licensees to stablish with each of them productive relationships to get prompt responses.

  • Document & correspondence preparation: Researching and conducting data to prepare decks/templates, correspondence and reports ensuring clear and effective communication. Occasionally, write and edit first drafts for written communications of the MD.

  • Meeting coordination and logistics: Arrange logistics for internal and external meetings, including venue bookings, setup and preparation of the agenda.

  • Assisting with meetings minutes and follow-up on action items post-meetings to ensure completion.

  • Tactfully manage up by providing reminders, follow-ups, and constructive feedback to ensure deadlines are met and projects move forward.

  • Be aware that because of this role, you will have access to important, sometimes sensitive information and will treat that information with the respect and confidentiality it deserves and requires.

Basic Requirements: 

  • Advanced English, indispensable (written & spoken).

  • Advanced writing skills both English and Spanish.

  • 2-3 years of experience as EA assisting a Vice-president.

  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point).

  • Detail-oriented, able to work under pressure, high level of organization and prioritization.

  • Capable to adjust quickly to changing priorities and schedules, managing unexpected requests or situations.

  • Act proactively without much supervision, anticipating needs and following through.

  • Able to interpret data, create reports, and make recommendations.

  • Strong interpersonal and communication skills: Ability to build and maintain strong relationships with all stakeholders within and outside the organization (Staff, SMT, suppliers, clients, partners), showcasing empathy, respect, and understanding of different cultural nuances.

  • Must be available for occasional after-hour support.

  • Familiar with the following technological tools: Office 365, SAP, CONCUR.

  • Interest in films and entertainment
