The College of Liberal Arts and Sciences recognizes academic advising is integral to student success. The person in this front office administrative position will collaborate with a team of academic advisors, faculty, administrators, student staff, and campus partners to achieve the delivery of a welcoming, inclusive, and supportive CLAS Academic Advising experience.

As a key first point of contact and representative of the CLAS Academic Advising team, the person in this role models exceptional communication and student service, practices intake strategies to assess and address student needs and supports students to learn and understand key university and college policies and processes. This position should also maintains positive working relationships with campus partners to facilitate coordinated support for students, oversees the implementation of proactive and strategic communication to students; and collaborates with office leadership on the management of front desk and administrative operations for the team.

As a front office lead, this position's anticipated work hours are Monday through Friday, between 8:00 a.m. and 5:00 p.m., with the option for modified hours based on an approved flexible schedule. This position is primarily on campus and includes the flexibility for some hybrid work and flexible work schedule based on role, responsibilities, and business needs.

Members of the CLAS Academic Advising team share a strong commitment to diversity, equity, and inclusion, student advocacy, and student success. The successful candidate for this position should be prepared to articulate their passion for supporting diverse college students through a developmental, equity-centered, and inclusive orientation to student service and support. Additionally, the successful candidate should demonstrate their experience working effectively and collaboratively as part of a team to support a high volume of students.

Academic Advising Support Specialist

What you will do:

Intake and Student Support

  • Establishes and maintains a welcoming front office/reception area in both campus and virtual environments to foster student's learning and social engagement.

  • Serves as a key resource and support for students, helps to create plans of action, and provides triage advising in response to questions, challenges, and concerns.

  • Assesses students' immediate needs and employs strategies to support students' transition, engagement, and referrals within the advising unit and across campus.

  • Develops and maintains relationships with key partners and functional areas including CLAS Academic Advisors, CLAS departments, Admissions, Bursar, Financial Aid, and Registrar to remain current on university, college, and unit processes.

  • Responds to student questions received on the central advising office email, phone line, and other communication modalities.

  • Articulates, explains, and adheres to CU Denver and College of Liberal Arts and Sciences university and academic policies.

  • Guides students through variety of systems including course enrollment, degree audit tools, appointment scheduling, admission application software, and other regularly used systems.

Strategic Communication & Administrative Operations

  • Manages, maintains, and implements office administration processes and polices to enable CLAS Advising team members to accomplish their tasks in a timely and efficient manner.

  • Coordinates programming, processes, and procedures in support of student success and retention.

  • Regularly pulls, shares, and analyzes student data to assess and inform the optimization of CLAS Academic Advising operations.

  • Develops and sends regular communications to focused new and active student populations including but not limited to PERC (i.e., prerequisite checking), potential graduates, late adds and withdrawals, academic standing, Dean's List, graduated students, and New Student Orientations.

  • Collaborates with team members to develop, implement, and assess best practices in utilization of Inspire software, including campaigns/outreach, data, reports, and communication tools.

  • Collaborates with team members on overall communication plan to active and incoming students using corresponding listservs and contact lists for CLAS Academic Advising.

  • Partners with team members to manage and maintain the CLAS Academic Advising website for constituents in Denver and International College Beijing (ICB).

  • Supports the onboarding, training, and ongoing development of student hourly and work-study employees.

Logistics, Programming, and Data Coordination

  • Manages front desk/office and back-office logistics for CLAS Academic Advising operation.

  • Manages communications and corresponding data each admission cycle to provide incoming students with a supportive and informative initial experience pursuant to supporting university enrollment and retention goals.

  • Maintains thorough and accurate spreadsheets on incoming student populations to ensure data is accessible by team members and overall data is maintained each semester for data analysis and future planning purposes.

  • Maintains integrity of undergraduate student data including forms, letters, policy documents, advisor assignments, population data, and enrolled/eligible to enroll reports.

  • Contributes to organizational and logistical preparations for CLAS Academic Advising as part of New Student Orientations (NSO) sessions including coordinating with NSO and Admissions teams, providing administrative support during NSO programs, managing pre/post-session data tracking files, managing advisor assignments, and conducting necessary follow-up outreach.

  • Provides administrative support and coordination for a variety of internal college processes including grade changes, late withdrawal petitions, academic standing, and various appeals.

  • Other duties as may be assigned.

Compensation and Benefits

The salary range (or hiring range) for this position has been established at $48,000 - $52,000.

The salary of the finalist(s) selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty, and training.

The above salary range (or hiring range) represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.

This position is not eligible for overtime compensation.

  • A bachelor's degree from a regionally accredited institution.

Substitution : A combination of post-secondary education and work experience in a higher education setting may be substituted for the bachelor's degree on a year for year basis. Examples of this can include an associate degree/two years of college + two (2) years of work experience in a higher education setting OR four (4) years of work experience in a higher education setting.

Preferred Qualification to possess (Preferred Qualifications)

  • One (1) year of full-time professional-level experience in a higher education setting.

  • Twelve (12) months of paraprofessional experience in a higher education setting may be counted toward the full-time professional experience.

  • Proven experience supporting coordination, organization and scheduling for enrollment management programs that include orientation, early alert systems, probation and suspension programs, transfer student initiatives, and/or other recruitment and retention activities.
