The role

Our customers are increasingly looking to improve their ability to support their employees to do their best work through effective HR teams supported by the right HR technology. Alight's Advisory team is dedicated to supporting our customers on their HR Transformation journeys. We help customers to achieve successful HR Transformations by advising them on different aspects of the implementation and adoption of new HR technology (particularly HR and Payroll Cloud systems) and how that technology triggers several other dimensions of their transformation. For example, we help them align their business processes and organization with the demands of new technology and new service models, and we provide them with the right change management advice to ensure adoption and a positive employee experience. We focus on value, and support our clients with data, enabling decisions on their side and eventually demonstrating the realization of the expected value for their HR Transformation journeys.

In this role, you will support this team of advisory consultants specifically on project management related tasks, such as proactive monitoring and controlling of advisory project financials, maintaining project plans in smartsheet and coordinating activities to enable the delivery of advisory services on time and with high quality.

The Advisory PMO Coordinator is someone who wants to continuously develop himself/herself in the world of project management, with a solid background (good basic knowledge and experience) on project management/coordination and with the desire to apply that knowledge in the context of Alight advisory projects. He/She will be part of a bigger network of project management within Alight’s Professional Services organization and will work with the Advisory Market Leaders in EMEA

Responsibilities

  • Support Advisory projects on project management activities, such as set up and maintain project management tools (smartsheet, Onenote, CIF, etc.)

  • Set up and maintain project document management systems (MS Teams, MoveIT & LAN folder) + Client facing (e.g. clientconnect, sharepoint, etc.)

  • Create contact lists, and manage access to tools and documents

  • Signpost the client towards Smartsheet training materials

  • Support on tracking of activities and risk management (e.g. maintain RAID Log)

  • Perform weekly project financial reporting

  • Help on activities related to project closure (including removal of accesses, closure and proper storage of project documents and tools and documentation of lessons learned

  • Fill project transition checklist if appropriate (for further project phases)

  • Schedule, arrange and facilitate project meetings (e.g. project kick-off meetings) and design workshops

  • Document actions for initial project meetings and share outcomes with relevant stakeholders

  • Support the Project Manager on creation and maintenance of project management documents, such as Project Charter, Team Org Chart, Block plan, vacation plan, Cutover plan, testing progress tracking, etc.

  • Set up budget tracking in IDB

  • Support billing and expenses processes

  • Monitor closely and alert PM if needed on budget expend and/or margin deviations from plan

  • Update project healthcheck and project status slides

  • Deputise for PM during short term absences (vacation, sickness, etc)

  • Draft project communications (e.g. Go-Live announcements)

  • Support PM on updating final financial reporting, including extracting time reports from the relevant tools

  • Schedule, arrange and support facilitation of project closure meetings

  • Drive continuous improvement initiatives related to Alight’s project management methodology

  • Maintain a resource forecast in liaison with Advisory’s Resource Manager and Advisory Market Leads

  • Track and monitor project risks, issues, decisions and actions logs and follow up with the Project Managers

  • Track and support the change request process with necessary logs and documentation

  • Ensure all systems are updated with the required project information including financials, planning, resources, etc.

Requirements

  • Degree in Business, Engineering or relevant field of study.

  • Background as Project Coordinator/PMO or equivalent (business administration, finances and taxes, quality control, etc.)

  • Fluent in English (written, oral). Other languages would be a big plus.

  • Excellent verbal and written communication and interpersonal skills.

  • Ability to communicate effectively with intermediate and high levels of management

  • Analytical mind, with a facility to identify areas of improvement, root causes and come up with good solutions.

  • Excellent Project Management skills

  • Ability to remain flexible, quickly learn and adapt.

  • Motivated self-starter with strong time management skills

  • Aptitude to work collaboratively in an ambiguous environment, diligently applying team standards in day-to-day work

  • Strong skills in MS Office applications, primarily: Word, PowerPoint and Excel

  • Knowledge of how to work with Smartsheet is required

  • Knowledge of Alight’s systems, project management environment and tools and financial processes are a big plus

  • 4+ years of working experience, with at least the last 2 years working on a project management related role.

  • Experience working for a global organization with a multi-cultural environment
