Beardsley Architects and Engineers Accounting Assistant in Syracuse, New York

Acting in partnership with our clients, Beardsley’s highly skilled staff delivers quality projects while promoting community and environmental benefits.Beardsley Architects + Engineers is seeking an Accounting Assistant responsible for managing both payable and receivable accounts, ensuring accuracy, timeliness, and compliance with invoicing as well as company policies and procedures. This position requires strong attention to detail, organizational skills, and proficiency in Excel.We are looking for a team member with the following qualifications:•Associate’s degree (A.A.) in accounting, finance, or related field required. Bachelor’s degree preferred.•Previous experience in accounts payable, accounts receivable, or in a general accounting role is preferred.•Familiarity with accounting software (Deltek/Vantagepoint/Vison) is preferred.•Proficiency in Microsoft Excel, Word, is essential. The ability to learn accounting software and office software applications with training is required. •Strong attention to detail and accuracy in data entry and financial record keeping.•Excellent communication skills both written and verbal. •Collaboration and teamwork skills is essential.•Ability to prioritize tasks and meet deadlines in a fast-paced environment.•Knowledge of GAAP principles and financial regulations.•Experience in the architecture or engineering industry preferred.Accounts Payable Responsibilities Include:•Processes vendor invoices accurately and efficiently.•Verifies invoices for appropriate documentation and approval prior to payment.•Reconciles vendor statements and resolves discrepancies as needed.•Prepares and processes payments via check, ACH, or electronic transfer.•Maintains vendor files and updates records regularly. Maintains accounts payable records on computer utilizing accounting software and obtains approval from authorized purchaser. •Assists in month-end closing procedures related to accounts payable.•Reconciliation of corporate credit cards. Gathering of backup documentation. Monthly entry into database for payment disbursement.•Maintaining electronic filing of invoices and credit card backup documentationAccounts Receivable Responsibilities Include:•Monitors accounts receivable aging reports and follows up on overdue payments.•Sends collection form letters per established schedules. Makes follow-up collection calls.•Maintains a history of collection activity in database.•Prints and provides copies of invoices and accounts receivable records to clients as requested. •Files related correspondence and other records to accounting project files. •Prepares and deposits checks, as well as processes credit card transactions.Project Accounting Responsibilities Include:•Assists in the preparation of financial reports and analysis related to accounts payable and accounts receivable.•Maintains accurate records of transactions and reconciles accounts as necessary.•Provides support during audits and compliance reviews.•Maintains reconciliation of project spreadsheets.Billing Responsibilities Include:•Generates client invoices in a timely and accurate manner.•Communicates with clients regarding billing inquiries and payment discrepancies.•Works closely with project managers to ensure accurate billing and timely invoicing.•Reads and understands project contracts and amendments to keep the database billing terms current.•Revises and resends invoices as needed by clients.•Assists with preparation of project billing for Principals’ approval.•Assists in the preparation of financial reports and analysis related to accounts payable and accounts receivable.This position involves confidential discussions, materials, and file access. The Accounting Assistant shall maintain confidentiality of any information they access and discuss said information only with confidential employees.Work Location: Syracuse, NY.
